RACI Chart Tool Help Guide

Overview

The RACI Chart tool helps you define and document project roles and responsibilities for various tasks or deliverables. RACI stands for Responsible, Accountable, Consulted, and Informed. This clarity is crucial for effective project execution and communication.

RACI Definitions

  • Responsible (R): The person who does the work to complete the task. There is at least one Responsible role, though others can be delegated to assist.
  • Accountable (A): The person who is ultimately answerable for the correct and thorough completion of the deliverable or task. This is the one to whom Responsible is accountable. There should be only one Accountable specified for each task.
  • Consulted (C): Those whose opinions are sought, typically subject matter experts; and with whom there is two-way communication.
  • Informed (I): Those who are kept up-to-date on progress, often only on completion of the task or deliverable; and with whom there is just one-way communication.

  • Select an existing project to work with.
  • Add new stakeholders specific to the selected project (name, email, role/title).
  • Assign RACI roles (Responsible, Accountable, Consulted, Informed) to project deliverables for each stakeholder.
  • View a clear RACI matrix showing deliverables, stakeholders, and their assigned roles.
  • View a detailed list of all assignments.

Getting Started

1. Select a Project

Use the "Select Project" dropdown to choose the project for which you want to build or update a RACI chart. The page will reload to show data for the selected project.

2. Add Stakeholders (if needed)
  1. If stakeholders for the selected project are missing, use the "Add New Stakeholder" section.
  2. Enter the stakeholder's name (required). Email and Role/Title are optional.
  3. Click "Add Stakeholder". The stakeholder will be added to the project and become available in the assignment dropdown.
3. Assign RACI Roles
  1. In the "Assign RACI Role" section, select a "Deliverable" from the dropdown. (Deliverables are managed in the PM Tracker app).
  2. Select a "Stakeholder" from the dropdown.
  3. Choose the appropriate "RACI Role" (R, A, C, or I).
  4. Optionally, add any notes for this specific assignment.
  5. Click "Save RACI Assignment".

Note: A stakeholder can only have one unique RACI role per deliverable.

4. View the RACI Matrix

The "Current RACI Matrix" will display all deliverables for the project as rows and all project stakeholders as columns. The intersecting cells will show the assigned RACI role.

A "Detailed Assignments List" is also provided for a linear view of all assignments.

Best Practices

  • Ensure every task/deliverable has at least one Responsible (R) person.
  • Ensure every task/deliverable has only one Accountable (A) person. This is critical for clear ownership.
  • Don't over-assign roles. Too many 'C's or 'I's can lead to information overload or delays.
  • Review and update the RACI chart as the project evolves or team members change.
  • Use the RACI chart as a communication tool with your team and stakeholders.
  • Ensure stakeholders understand their roles and responsibilities as defined in the chart.
